With Asset Infinity, assets can be easily added and updated. To add new assets in the system, the form opens up as shown below. Add Asset form can be managed from Customize Asset Form in Advanced Settings.
User can easily add new sections and fields in the form using drag and drop feature
As the first step, enter all the required details of the asset like Asset Name, Asset Code (Asset code can be managed through Asset Code Format in Advanced Settings). If this field is left blank, it will be auto-generated.
Allotted (assets that are allotted to a particular user and are in use)
Unallotted (assets that are not allotted to any user and are in stock)
Discarded (this status is used only when an asset is discarded or will not be used anymore.)
In Additional Information tab, users can cover details like Brand, Model, Serial No., Condition (Physical state of the asset) and Description.
Brand, Model and Condition can be managed from Application Settings.
User can also link an existing asset with the new one being added
Files/documents related to assets can be uploaded while adding assets. User can upload multiple files for an asset, if required.
In Financial Information, capitalization price and date are required to be entered. The sequence of date should be End of Life > Capitalization date > Invoice date > Purchase Date.
Purchase Information
In Allotted information, the user is required to enter the user to whom asset has been allotted along with allotted up to date (not mandatory). User can select the Department from the Drop-down list. Department can be managed from Application Settings.
If there is any custom field added to the form, it will be displayed under Additional Information (Custom Fields can be added from Advanced Settings). Fill the form and click on Save button. The asset will be added and displayed in the Asset Grid on the dashboard.
According to the requirement of the organization, the user can add n number of custom fields to the asset addition from. These fields are used to store data that are exceptional or limited to the organizational level and may vary according to the category of the asset being added. There are several types of field types while making a custom field like Drop-down, radio buttons, text, date, etc. These custom fields are managed from Advanced Settings > Custom Fields
- Go to Dashboard: Takes you to the Homepage of the application.
- Copy Asset Details: Auto-fills the form with same exact details recently used
- Add Another Asset: Remains the same form so that new details for an asset can be filled.
- Schedule activity: Schedule an activity over the same asset that was just added
- Add item: Add an item/Inventory linked to that category of asset.
Model & Brand field can be converted to Drop-downs.
A check can be established to see that every serial number is unique
Category can be replaced with asset name i.e. Category will act as asset name which should be pre-fed in the application.
