This feature is very helpful when we have many assets, and we must enter the data for all of them into Asset Infinity. In that case it will be a very tedious process to upload that asset data one by one, so to overcome that problem, this Importing Assets option is provided to us.
This can be reached by going into:
Menu > Import Data > Asset.
After Reaching here, we will see the following screen:
Here, we can see all the details which we need to enter regarding the assets.
The fields with a red asterisk “*”, are mandatory and without entering them the asset data will not be saved. When we click on save, we will see the following error:
Here we can see that the mandatory fields are highlighted in red indicating that this information needs to be added in the grid.
If we see the grid again:
We see here 3 boxes above highlighted by different coloured rectangles.
We have two options of uploading the assets:
We can directly enter the information for multiple assets in the grid which is visible to us.
We can download the template and fill in the required asset information and reupload it to add the information.
If we choose the 1st Option, then we need to fill the details regarding the specific columns. These columns are as follows:
We need to add an Asset Name, the unique asset code which will be autogenerated.
The status needs to be updated, in this we can add the status of “In Use” if the asset has been allotted to someone or “In Stock” if the asset is present within the inventory but is not allotted.
The Category of the asset, whether it belongs to IT Assets, or Plant and Machinery or any other category as set by us.
We can also add the Capital Work in Progress (CWIP) Invoice number here in case it is applicable.
Then we can add other details like Latitude, Longitude as a part of location information, Part no., Colour of the asset.
Then the Location where that asset is located needs to be mentioned.
Then the condition, brand, model of the asset can be mentioned as per the requirements.
Then, if there is any linked asset, that needs to be specified.
Then, the Description of the asset, the Serial Number can be specified.
Like these, there are multiple other columns in which the data can be added for the asset.
When we click on the Save button, the data gets updated into the Asset List.
If we choose the 2nd Option, then, we have to consider the coloured boxes above.
The first blue coloured box is regarding the download of the template and is the 1st task we need to perform, if we are uploading the data from the excel files.
When we download the form, we see all the columns from the grid, here in this file. We can see certain mandatory columns being filled with the information here.
We can just transfer the other asset details as per these columns above from the records available to us.
When we have filled the information, we will then have to go into the application, and click on the Button showcased by the Yellow Square. This is the button to upload the template. When we click on it, we see the following screenshot:
From here, we can choose and upload the file in which we have added the information and click on Open.
When we do that, we see the information getting added in the grid.
We can see that, the information we added in the excel file has been updated here.
When we click on Save, then this information gets updated into the Asset List.
We can also click on the Button shown in the Green Square as a reference of the values which we have to add for the different columns. By clicking on it a sample excel file opens with the information, by using which we can add our asset information.
The information will be visible like this after we open this reference file for our asset upload.
