How To: Understand the Pending Activities Report in Asset Infinity

The Pending Activities Report helps us understand the activities which are due and have not been completed yet. Based on the information we can take the necessary desirable action. 

 

It can be reached by: 

Menu > Reports > Schedules & Maintenance > Pending Activities Report 


We will see the following screen: 

 

 

This is the List View of the Pending Activities Report which is visible.

We also have a Calendar View of all the activities which are pending which shows the activities based upon the due date set for them from where we can drag and drop and hence reschedule any activity.

The Calendar View will be visible if we click on the Calendar shown in the red rectangle in the above image. When we click on it, we see the following screen: 

 

 

 

 

Here, we see all the activity names which are scheduled on each date in the month of June. We can change the Date and Month and see the activities related to it. 

 

 

 

Now if we come back to the List Default View,  

We can see here, the colored boxes shown in the Red Rectangle. These give us the option of saving as Report or Widget, Exporting the data as PDF or Excel File, Refreshing the data to reflect any new additions and Grid Settings to tailor the information grid according to our requirements by making changes to it. 

 

 

 

We can increase the per page records that will be shown, by clicking on Showing Records Dropdown which can be seen within the Red Rectangle in the above image. 

 

 

 

Here, we will also see a drop down shown above in the Red Rectangle Shape where “Default View” is written. This means that the Pending Activities Report which will be shown below will be in the default view which has been provided. We can also create our own custom view by clicking on the “+” Button on the right of “Default View”. 


We see that some activities are highlighted in Red Color in the grid, and some are in Blue Color. The red colored ones are those activities which were not completed, and which are past their due date, while the due date for the blue ones is yet to be passed. 
We can see the information in Asset Code, Asset Name Columns in case the activities are associated with a specific asset. 
We see the Location where the activity was performed, the Date on which the activity completed, the Due Date which was set for the activity completion. 
If any files need to be uploaded with the activity, then those will be shown in the “Attach Files” Column. If the activity needs to be performed by a Vendor, then the vendor’s name will also be visible. 
The Activity Number is autogenerated as soon as the activity is created. 

If we scroll rightwards in the information grid, we see following more columns: 

 

 

 

If we had set to inform any other user regarding the activity, then that information will be present under “Send Emails to” Column. 


The Type of the activity which was performed is mentioned. This can be related to the usage measurement which is represented as Utility in the above image, or it can be related to other type of activities such as maintenance etc. 
Status Column shows the status of the activity, when it is scheduled to be completed, if its Overdue or has to be completed today, all these aspects are mentioned. 
Any remarks which we mentioned, or the name of the vendor, if the activity was performed by him is mentioned in the respective columns. 
The Activity duration is mentioned within the “Occurs” Column. Whether it will be a one-time activity, or has to be performed daily, weekly or any other duration is mentioned here. 

If we scroll further to the right:  

 

 

If the activity is recurring, then its next due date will be visible in its respective column. 

The Current Due Date is also mentioned. 

The assignee to whom the activity was assigned is mentioned along with the User Group to which he/she belongs to. 

Any description related to the activity is mentioned. 

 

 

 

We can see two new columns here related to the days by which an activity is overdue and about the maintenance checklist if that was created related to the activity. 

We have the option of deleting a pending activity, taking a print of the respective activity data by clicking on their respective buttons shown in the above grid in a red rectangle.  

 

The activity information can be edited, and the activity can be completed by clicking on the Edit Button shown in the red rectangle in the above image. 

This is how we can interpret the Pending Activities Report.
