            Purchase Requistion

            ·      The purchase requisition will be present under the Helpdesk Section on the navigation menu as well as on the dashboard. This form contains the following fields:

            1. Select the Request type, and location from the drop-down, both the fields are mandatory.
            2. Select the user name in the Requested by field and Requested Date from the dropdown. 
            3. The user can also mention the required date, add a description and upload asset-related files.
            4. There are four types of request: “For Asset,”For Items,”For Catalog” and “For Free Text for Asset”. The user can raise multiple requests (types) by clicking on the Add more button.
              1. For Asset 
                1. Select assets from the drop-down. The available stock and unit will be reflected in the given field for the selected asset
                2. Enter the required quantity
                3. Enter the average price
                4. Add a description for reference
                5. Select the department from the drop-down.
              2. For Item
                1. Select item from the drop-down
                2. The available stock and unit will be reflected in the given field for the selected item
                3. Enter the required quantity
                4. Enter the average price
                5. Add a description for reference
                6. Select the department from the drop-down.
              3. For Catalog
                1. Click on the Catalog field
                2. Select the Asset and Category from the drop-down in the Catalog pop-up (Remarks and Average price will be displayed for the selected Catalog)
                3. Enter the quantity required
                4. Select the department from the drop-down. The total cost will be displayed in the form. Catalog and Quantity are mandatory fields.
              4. Free Text for Asset
                1. Free Text for Asset is used for raising purchase requests for those assets or items that are not added or cannot be included in the system.
                2. Click on the Free Text for Asset field.
                3. Enter the Name of the Asset in the field.
                4. Enter the quantity required.
                5. Enter the average price of the asset.
                6. Select the department from the drop-down. The total cost will be displayed in the form. 
            5. Click on the Save button to complete the process.


            Users can create new purchase requisition orders in this section.  

            1. Request Types
              1. All the request types added by the users will be displayed on click of this field.
              2. To create a request type, the user has to select Request Type under the Application Settings section present in the navigation menu.
            2. Requested On Date – It is set as the current date of the system.
            3. Required Date – Required date can be chosen from the calendar, which will open on click of this field. No earlier date than the actual one can be selected.
            4. Location
              1. All locations uploaded on AI applications will be displayed. It’s a single select drop-down option.
              2. The user requires choosing a location for which PR is being generated.
              3. Locations can be created in the Locations under the Application Settings section present in the navigation menu. The created locations will be then shown in the Location field present all over the platform.
            5. Department
              1. Users may or may not specify the department for PR requests. The user can select a department from single select drop-down options.
              2. Departments can be created in the Departments under the Application Settings section present in the navigation menu. The created departments will be then shown in the Department field present all over the platform.
            6. Requested By
              1. The user who has raised the PR will be present in this field.
              2. The user can also select the "Reported by" user from the dropdown on click of this field.
            7. Upload File – The user can upload files via browsing through this system.
            8. Description – Text field where the user can enter details of PR requests if required. 


            All the generated PR requests will bind together and will be displayed in the grid. Status of the generated PRs will be displayed in the grid. User can:

            1. Filter the PR generated based on:
              1. Request Type
              2. Location
              3. Requested by
              4. Status (Pending, Approved, Completed)
            2. Search PR directly by entering Requisition no. 
            3. User can print the generated PR.
            4. User can copy an existing PR and generate a new one.
            5. All the generated PRs can be exported to excel with complete details.
