            Workflows

            A. Manage Workflow :To add workflow to form, go to Advanced Settings and click on the Manage Workflows page. The screen given below will open:

            Form fields: The user is required to fill the basis details in the form above the grid to add workflow approval level(s). The field will be displayed according to the form selected.

            Workflow For Role

            Select the role on which the workflow has to be applied from the drop down list.

            Form

            Select form to add workflow on the transaction. For example, for ticket select ticket from the drop down.

            Asset Location 

            Select Location from the drop-down, location can be added from application settings. They will be displayed according to the role permission.

            Category

            Category assigned to users will be displayed in the drop-down.


            1) Workflow for User Role

            In this case, the workflow will be applied on the entire user added under the selected role.

            Form fields in case of User Role:

            Approval based upon

            The approval will be based upon role (all users) involved in a function.

            Workflow admin’s user role

            The user role for which the workflow has to be applied.

            Approver

            The name of the user added under the user role, only one user can be selected.

            Reporting Level

            The reporting level of the user selected.

            Default transfer duration

            For Reminders, the reminders will be sending in hours or days based upon your choice.

            Reminder/Escalations

            Escalation to next level in hours/days, time period for sending reminders

            Approval Required

            The approval of the workflow level is required or not. If you do not mark the checkbox the user will only be notified and request will be approved and if the check box is marked, the request will not be approved unless the approver accepts it and will not be moved to next level of workflow.

            Close Workflow

            Mark the checkbox if you want to close the workflow at this level.

            Can modify fields?

            Select the form field in which the users can make changes within a form.

            Additional Approver :

            Add more approvers at a workflow level, who are not present in any group.

             

            Approver Role

            Select role from the drop down

            Approver User

            Select user present under the role

            In case of Additional Approvers: In the Approval tab, the users selected in the Reporting Level, Additional Approval Roles and User will receive approval requests and emails for the same.

            1. If any of the users approves or rejects the requests, then other users of those users will not be able to approve or reject on that particular level. 
            2. The request will be moved to the next level once approved.  The user can add multiple roles and users on the approval level. 

            2)  Workflow for User Involved (Actors)

            In this case, the workflow will be applied on the actors involved in the transactions (Add Ticket).

            Form fields in case of User Role:

            User Type

            The user for which the workflow has to be applied.

            Reporting Level

            The reporting level of the user selected.

            The additional approver will work the same in both the cases.



            1. The workflows created will be displayed in the grid with form name, role, manage grid, minimum price, maximum price, request type, ticket type and workflow applicable.
            2. Users can edit, delete, manage grid and exported to excel.
