Request Type is created to maintain a standard request in the application. Request Types help an organization to easily generate Purchase Request from a pre-defined format of request types. Here, the user can create a request type for Asset, Item, Catalog or can even enter free text. The Request Type can also be generated using combinations where user can choose multiple types in a single Request Type. 

 

Request ModeIn Request Type, the user has two options: one is to create a new request type for PR, PO, and GRN process and the other to create a service request for SR, SO, and SRN. Here user can use the radio button on the top to select what type of requests the user wants to create i.e. either a Purchase Request or Service Request. 

 

Request Type: User requires to enter the name of the request type. This depends on the user as they can use any name as per convenience since this is a free field. 

 

Type:User can create Request Type by checking in checkboxes Asset, Item, Catalog, or Free Text for Asset or their combination with or without selecting categories. 

 

  • AssetBy marking this with a check, whenever the request type is used that contains this type. A Drop-down is visible where the user can select a type of existing asset against which they can raise a Purchase Request. Selecting a category will bind assets related to the category only. 

  • ItemWhen this type is included while making a request type, a Drop-down is visible with all existing items on the application, against which they can raise a Purchase Request. Selecting a category will bind Items related to the category only. 

  • Catalog: Organizations can maintain a catalog with certain details about an item/asset whenever a request type with this type included is added. The user has the right to access only that item/asset included in that catalog while raising a request. To create a catalog, click here. Selecting a category will bind Items/Assets related to the category only. 

  • Free Text for Asset: The user creates a request for an asset by entering all details while creating a Purchase Request using this type of request. 

 

Request Type CC: Multi-select Drop-down option to select users. An email will be sent to all when a new PR is generated using this Request Type. 

 

Default Assignee: Default assignee is mandatory field. When Purchase Requisition is created on this Request Type, the default assignee can allocate assets and items. 

 

Specific Location Assignee: If the user selects the default location and default location assignee, the Purchase Requisition is created on this request type and on the selected location. The Default Assignee and Location Assignee both can allocate assets and items. 

  • Asset LocationUsers can choose from this list of multiple select Drop-down for which locations they wish to create a Default Assignee. 

  • Assignee: Only a single user can be selected from this Drop-down. They will then be considered as Default Assignee for the selected locations. 

If the checkbox 'Allow item request when stock is above zero' is marked, the user raising a Purchase Requisition for an Item using this request will not be able to enter a quantity above the available quantity being managed under the inventory module for that item. 

 

If a user decides to generate a Service Request using this window, they can click the radio button just before the text Service Request. The user now sees lesser number of fields carrying similar functions. The window looks as shown below.  

 

 

The Request type displays an option for adding free text. This means the user can enter a free text-only while making a Service Request using this Request Type. 

 

Managing Request Types 

 

 

 

Request Types created can be managed from the grid at the end of the page. Actions such as Add, Edit, View & delete are available. Users can also export to Excel by clicking on the Down arrow icon and then on Export to Excel.
